This policy explains what personal data MK Sparkle Cleaning ("we", "us") collects, why, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
MK Sparkle Cleaning is registered with the UK Information Commissioner's Office (ICO registration ZB-PREVIEW). Registered office: 26 Blackdown Road, Stony Stratford, MK11 2AB.
What we collect
- Contact details you give us — name, phone, email, postcode, address, service preferences.
- Job details — date, time, scope, access notes, photos taken with permission for quality records.
- Payment data — handled directly by Stripe / GoCardless; we don't store full card numbers.
- Website analytics — anonymised page views via Google Analytics 4 and Microsoft Clarity, only after you accept cookies.
Why we collect it
- To send you a quote, confirm a booking, dispatch a cleaner and answer questions.
- To take payment and issue invoices (legal obligation).
- To improve our service — understanding how the site is used helps us fix friction.
- To send relevant updates if you opt in (you can opt out at any time).
Lawful basis
Performance of contract (booking and delivering a clean), legitimate interests (service improvement and fraud prevention), legal obligation (tax records), and consent (analytics cookies, marketing emails).
How long we keep it
- Quote and booking data is retained for 7 years for HMRC compliance, then deleted.
- Active customer records — for the duration of the relationship plus 2 years.
- Invoices and tax records — 7 years (HMRC requirement).
- Marketing consent — until you withdraw it.
- Quote enquiries that don't convert — 12 months, then deleted (unless retained for HMRC purposes).
Who we share it with
Only the people who need it to deliver the service — your assigned cleaner, our payment processor (Stripe / GoCardless), our hosting provider (Cloudflare), our automation platform (n8n Cloud), our email and calendar provider (Google Workspace), and our messaging provider (Twilio). We never sell your data. We never share it with marketing networks beyond what's needed for the analytics cookies you've consented to.
WhatsApp fallback
If our online quote or contact form fails to reach our automation system (rare, but possible), the page will offer to send your details as a pre-filled WhatsApp message that you choose whether to send. The message includes your name, phone, email, postcode and service request. If you send it, the message becomes part of our WhatsApp conversation history with you and is also visible in your own WhatsApp chat history. You can decline this fallback and contact us directly by phone or email instead.
Cookies
We use a small number of analytics cookies (GA4 + Microsoft Clarity), and only after you accept on the consent banner. No advertising or tracking cookies. You can decline at any time and the site works fine without them.
Your rights
- Access — ask for a copy of your data.
- Rectification — fix anything that's wrong.
- Erasure — ask us to delete it (subject to legal record-keeping above).
- Restriction — pause our use of it.
- Portability — get a copy in machine-readable form.
- Object — to processing based on legitimate interests.
- Withdraw consent — for cookies and marketing, anytime.
